PRO-TEM COMMITTEE 1st MEETING WITH DEVELOPER, SUNWAY

Thursday, 15th January 2009, Monterez Club – The Villa Suria Pro-Tem Committee recently met up with representatives of Sunway, the developer of Sunway Alam Suria at the Monterez Clubhouse CafĂ©. This meeting was arranged at the request of the Pro-Tem Committee to highlight a few community issues as well as a first step towards creating bilateral relationship with Sunway.

Attendees for this inaugural meeting are as follows :-

For Sunway :-

Mr. Ho Hon Sang (COO), Mr. Ramond, En Adly Sham, En Shahril, Ms. Carmen Tham, Mr. Ivan and En. Ghazali;

For Villa Suria :-

Tuan Hj Kolonel (B) Zainal(Penghulu), En Adrin Adzuan (Spokeperson), En. Zailani, En. Yusof, En Syed Yahya, Dr. Huzaimi, Raja Zaharin, En. Zakhwan, En. Idrees and En Ismail

Amongst the issues discussed in the meeting are as follows (actions to be taken are highlighted in blue) :-

1. Query/Issues : Sunway’s development plan in terms of the construction of the Surau for Sunway Alam Suria.


§ Sunway has allocated a parcel of land approximately 1 acre in its development plan for Sunway Alam Suria’s surau. According to Sunway, they have allocated a budget of about RM200K for the construction.

§ The Committee has requested that Sunway keep the Committee in the loop including in the planning, construction and design of the Surau as the Committee may contemplate to get involved in the development of the Surau including the possibility of gathering further contributions to increase the budget for its construction. An 'Open Line' for discussion is requested by the Committee with Sunway.

2. Issues/Query : Reinforcing the walls of drains near wall fence (besides the outside main road) as there have been incidents of soil erosions and drain collapse due to rapid flow of water especially after rain.

§ Sunway has tasked Project Engineer,En. Shahril to observe and study the problem especially during rain fall. Sunway undertake to the Committee that they will find a permanent solution to this matter.

3. Issues/Query : Damage to surface of badminton court caused by Sunway Construction’s heavy machinery.

§ Sunway undertake to repair the damaged surface as soon as possible.

4. Issues/Query : Request for fogging as there are a number of suspected chukugunya/dengue cases in surrounding areas.

§ Sunway informs us that fogging for the housing area is usually conducted by Ministry of Health or the local authority and usually happens when an outbreak has been detected.

§ However as they are required to do routine fogging of their ‘kongsi’ , Sunway has agreed that they will bring extra pesticide each time when they conduct the fogging at the ‘kongsi’ and Sunway will help to do fogging at Villa Suria as well. Sunway will forward the Fogging Schedule of the ‘kongsi’ to the Committee.

5. Issues/Query : Improve communication line and information/notice distribution between residents and Sunway.

§ Committee highlighted the failure in the issuance of important notices or the breakdown of the distribution of such notices to the residents by Sunway. Example : Notice for extension period of temporary road closure not issued, no road signage to direct traffic to temporary entrance and notice of temporary electricity closure was not sent to all residents.

§ Sunway realize the importance of these notices reaching the residents and apologized for inconvenience caused. Sunway will work on improving its communication with the residents and improve on its distribution of notices. The Committee agree to assist Sunway to communicate any important information to the residents, if required.

§ Sunway will re-introduce the helpdesk at the show house for residents to meet with the representatives of Sunway if they have queries or any defect complaints

6. Issues/Query : Construction of additional drainage to overcome the problem of overflowing rain water causing mudflow problems affecting a few houses in Villa Suria.

§ Sunway has tasked Project Engineer,En. Shahril to observe and study the problem especially during rain fall. Sunway undertake to the Committee that they will find a permanent solution to this matter.

7. Issues/Query : Continual maintenance of street lights including blown light bulbs;

§ Sunway undertakes to replace the blown bulbs and continually maintain the street lights.

§ Sunway to look into and fix (permanent fix and not just provide temporary measure) the cause of the electrical failure which caused sparks to the lights at the basketball court

8. Issues/Query : Renovation and construction during weekends and public holidays;

§ The Committee and Sunway has agreed to try for a period of one (1) month from the date of the meeting for the security to enforce strict entry screening and also to prohibit all construction/renovation works during weekends and public holidays.

§ This measure will be reassessed after the lapse of the test period

9. Issues/ Query : Contact number of the guard post in case of emergencies.

§ As the guard post does not have a fixed line telephone, Sunway has agreed to provide a temporary handphone to the guards (kept at the guard post) for residents to call in case of emergencies.

§ The handphone number shall be distributed to all residents.

10. Issues/Queries : The Committee highlighted that the bushes/grass outside the fence near the playground has become overgrown and is the pathway used by foreign workers. The residents are worried of their safety in terms of wild animals and trespassing. Therefore the residents request that the bushes/grasses be cleared.

§ Sunway agreed to periodically clear the overgrown bushes/grass

11. Issues/Queries : Request that a BBQ pit , lights, power and water point be installed at the playground gazebo for purpose of residential gathering/activities.

§ Sunway informs the Committee that the plan for the playground has been submitted to MBSA for approval and that they will have difficulty to hand over to MBSA if any changes is made. However once the responsibility is handed over to the RA, Sunway has verbally agreed to assist to construct and install the BBQ pit, the lights, power points and water pipe at the said Gazebo.

12. Issues/Queries : Request that workout facilities be put up at the playground (eg. facility to do heaving, sit ups etc).

§ Sunway has agreed to put up the said facilities.
